We are seeking a well-organized, enthusiastic, professional Administrative Assistant for our executive office. We need someone who thrives in a very busy and dynamic environment and who has exceptional scheduling and Microsoft suite abilities.  Working in Valley’s Executive Office, you should be highly presentable, outgoing and professional and work well under pressure and to tight deadlines.

 

Location:  4460 South Highland Drive Salt Lake City, UT 84124

 

Schedule:  M-F; 8-5

 

Pay:  $32,000 - $40,000/yr ; Based on experience

Responsibilities

  • Manage and schedule complex calendars and meetings; keep Executive appraised of calendar events, action items, messages and relevant business issues, both internal and external
  • Forward planning the activities and needs of Executive
  • Preparing complex documents and reports in a timely manner for upcoming meetings
  • Daily problem solving and meetings with the Executive 
  • Demonstrate flexibility in day to day operations
  • Take, distribute and follow up of meeting minutes/task lists.  Review each task list and manage deadlines in conjunction with the Executive
  • Summarize the content of incoming materials, information, or meetings to assist Executive in coordinating that content with background office resources, while drawing attention to important parts or conflicts
  • Prepare business expense reports and mileage reports and track status using own initiative for Executive
  • Coordinate and organize travel arrangements as needed 
  • Provide additional general office support such as greeting and directing visitors, handling incoming calls, and processing mail and exhibiting excellent customer service
  • Works closely with other Administrative Support Staff to coordinate schedules and office duties
  • Perform other related administrative and support duties, as required 

Qualifications

  • 2+ years’ administrative experience/education - Bachelor's Degree or higher preferred
  • Proficient in Microsoft Office required (Outlook, Word, Excel and PowerPoint)
  • Exceptional scheduling skills
  • Needs-oriented and emotionally intelligent
  • Excellent analytical and organizational skills 
  • Outstanding verbal and interpersonal skills with the ability to communicate with top level staff at a professional level
  • Ability to work under pressure, within strict time constraints and meet deadlines in a timely manner
  • Ability to support the Executive and team members
  • Ability to hear and use confidential company information in a responsible manner
  • Proven ability with meeting minutes and meeting actions follow up
  • Successful candidates must be friendly, professional, flexible, proactive, solution focused and adaptable to rapid changes in the daily work environment and be resourceful in solving problems
